Kids Center is searching for an experienced Project Coordinator to join the team.

Job description:

This Project Coordinator supports and aids senior leaders in managing project and advancement activities. Handles the administrative tasks of the project including maintaining project management documents, liaising with clients and administering project management software. Analyzes the objectives of the project and determines project requirements. Contributes to establishing and controlling the project budget. Audits project processes and identifies and addresses problems and risks that may be encountered. Enables communication between the project stakeholders and facilitates meetings. Coordinates the project schedule, monitors deadlines and writes status reports. Oversees and delegates some project tasks.

This Project Coordinator will work closely and collaboratively with the Executive Director, along with the rest of the senior leadership team, to coordinate/support regular team meetings and specific front office tasks/projects and to provide the following: support to the senior leadership team and manage the Kids Center supplies, wearables, and other resources. In addition, this critical and developing role will provide assistance with Development & Marketing (Fundraising) and Finance, Administration & Customer Service teams as needed.  Specific job duties include:

  • Assist the Executive Director with donor relations: logistics of donor tours, cultivation, impact guest list, prep for high impact experiences;
  • Coordinate board of directors’ interactions, committee and board meetings, and planning an annual retreat plus special event activities;
  • Provide meeting support: take minutes in key meetings to identify and execute projects from the following committee and task force meetings for momentum: Development and Marketing; Strategy and Board Engagement; Executive Committee; Board of Directors meetings. Here are some of the specific duties:
    • Coordinate meeting invites and donor meetings
    • Schedule meeting sites; order food; facilitate attendance and experience
    • Coordinate handouts, technology, PowerPoints and other presentations, flow of meeting and minutes;
  • Support management of overall client experience at 2 large therapy centers: e.g. includes potential front desk support (hands on) for one late afternoon/early evening per week (made up by one late morning);
  • Supplies ordering/management and outside contractor collaboration not related to Program Services (e.g. includes coordination around IT and HR platforms);
  • Manage Executive Director schedule, key contacts, and speaking engagements as needed;
  • Assist Development and Finance/Administrative teams as needed;
  • Maintain lists in usable and findable formats; impact wearables; improve mail and information distribution and processing;
  • Other tasks as directed.

Annual Compensation:  $47K - $52K based on experience

Job Requirements

Required Qualifications

  • Bachelor’s Degree
  • Mastery of Microsoft Office Suite – Word, Excel, Power Point, Outlook
  • Strong Communication Skills
  • Highly Organized

Preferred Qualifications:

  • Three to five years’ experience in related field
  • Non-profit experience
  • Experience with Raiser’s Edge software
  • Project Management Software Experience

Location:

Kid Center has two large therapy locations, one on Eastern Parkway and one on Bluegrass Parkway, both in Louisville, KY. This role will be housed at our beautiful, historical Eastern Parkway campus which is centrally located near the Highlands with easy access to nearby stores, restaurants, and coffee shops

Salary Range $45,000 - $50,000
